What do all of the high school varsity divisions mean?  How do I know which to enter?

We have two elite/invitational divisions and three open divisions.  Our elite races are seeded, meaning we will place only the top teams into them (unless a team chooses not to race in the elite race).  On the entry form, coaches may request what race they wish to be in.  Those opting to be a part of one of the two elite races will be considered for a spot; however, that spot is not garaunteed.  We will seed teams in September.  We will decide, based on the strength of the team, which race we feel the team would best fit into.  Coaches, your input is strongly considered and welcome--if you feel we might not know enough information about your team to properly decide, send a polite email with the inside scoop!  Teams not accepted into the elite race of their choice will simply be dropped down into the appropriate race.

RACE OF CHAMPIONS - This is our most elite race and is reserved only for the most elite teams entered. Teams that qualify will be considered at or around the top ten in 3A/4A or top six for 1A/2A.

INVITATIONAL - This is our second tier for teams that are very good, but not quite at ROC level yet.  Teams seeking to be entered here should be at or around top twenty for 3A/4A or top 15 for 1A/2A.

OPEN - The newest division that we first started last year, open to any varsity teams.

SMALL SCHOOL - This race is open to all varsity 1A and 2A teams.

LARGE SCHOOL - This race is open to all varsity 3A and 4A teams.

What about these JV races?  Blue and White?  What's the difference?

There is no difference other than the day it is run on.  Some teams that are not able to stay overnight and only came on Saturday were not able to bring their JV kids since we only had a JV race on Friday last year.  So this year we have two JV divisions.  Run your junior varsity in whichever is most convinient to your schedule.

On Direct Athletics there is only one big "High School" division.  How to I specify which are JV and Varsity and in which race we want to run?

You do not need to specify who is junior varsity and who is varsity.  Enter all of your athletes who will run, no matter which race.  You don't even have to figure out your top seven until the day of the race and still yet we don't need to know!  It won't throw our timing off.

As far as which varsity division goes, you don't specify that on Hytek but on the entry form so again just enter all of your athletes who will be running!

Do I enter my JV kids on Direct Athletics?

Yes.  Every athlete's name must be entered on Direct Athletics.  Otherwise the athlete will not have a number and will not be able to run.

I have a situation..........and ____ doesn't have a race number.  Can this athlete just run and not go through the chute?

No.  All athletes must have a valid race number to run.  No "phantom" athletes will be allowed, even if they vow to cut off the course early.

I'm not sure which athletes will be running varsity and which will be junior varsity, should I wait to enter?

No, go ahead and enter them on Direct Athletics now.  It doesn't matter who ends up being JV and who ends up being varsity.  As long as you enter their name on Direct Athletics, they will have a race number.

What if we have more athletes join the team after we sign up on Direct Athletics?  Should I wait to enter?

No, don't wait.  You can add or remove the athletes from your entries at any time before the meet deadline.

I am a high school coach of a non-elite team, but we have one or two really good athletes.  Can I get these athletes into an elite race as individuals?

Please keep in mind that all of our divisions are competitive.  The winning times in the small and large school divisions last year were both under 16:35 for boys and under 20:00 for girls.  The qualifying standards for individual entries into our elite races are as follows:

There is no additional entry fee for these individuals if their team is competing in another race.  We also welcome individual entries whose teams are not attending the meet (with their coach's blessing of course), those athletes will be charged $10 for an individual entry.

In what race will adult athletes be able to run and what will it cost?

They will run in the Community/Open on Saturday. The entry fee is $10.  Click here for more info on how to enter.

Which hotel is the meet headquarters?

There is no real meet headquarters hotel.  The closest hotels to the course are rather small and all are very spread out--so we opted to have no official host.  All packet pick-up and meetings will be at the course.

Can I sign up the day of the race?  Can I enter some more athletes the day of the race?

We will allow individuals to register for the Community/Open 5K the day of the race, but no one else.  No teams will be permitted to add athletes to their rosters the day of the meet and teams that did not get their rosters in are out of luck.  Sorry, guys, but the meet is too big to play that game.  Rosters in by deadline, period.

How many athletes can I run in a high school varsity race?

Seven.

How many athletes can I run in a junior varsity, college, or middle school race?

As many as you want.

Do all athletes have to have a race number to run?

Absolutely.

Can I give this athlete another athlete's race number?

Please don't.

Can I have a runner cut off the course just before the finish?

No, everyone needs to have a number and be registered.

Do I need to go to the coaches meeting?

No, you can pick up your packet before your race. However, you will not have the opportunity to ask questions of the meet directors as volunteers not involved with meet management will be the ones manning the packets.  We encourage coaches to be at the coaches meeting if they have questions and also to pick up packets and get race numbers to their athletes ahead of time; however, the meeting is optional.

Where is the coaches meeting?

The coaches meeting will be held at "the barn" out by the course, adjacent to the spectator parking lot.  It is the clearly visible building to your left as you approach the course.  The coaches meeting for Friday's races will be at 3:00pm on Friday.  The coaches meeting for Saturday races will be at 8:00pm on Friday.

When and where is packet pickup?

Packets will be available at the meet headquarters area at the course on Friday 3pm-7pm and Saturday morning starting at about 6:30am.  Packets will also be available for pickup at the coaches meeting at 8:00pm on Friday night.

I'm a high school varsity coach, what race is my team going to be seeded in?

Which category do you fit into?

A) We wanted the varsity open, large school, or small school....... you're in (while there is room).

B) We wanted the ROC or Invitational.......... we will seed teams in September.  Your choice will be strongly considered, but we may seed you into a different race than you asked.  You will be seeded into the Saturday varsity race that we feel is most appropriate for your team's abilities.

Will the race fill up?  Will you turn away teams?

In 2003, we did fill up and we unfortunately had to tell some teams that there were no more slots. Last year, we have added one more varsity race and we did not have to turn anyone away.  There may be a surge in attendance with the new course this year, so you never know, we could.

Are we going to be assigned a starting lane?

No, we've tried that and it's much more raw to leave that up to you!  We will have lanes drawn at the start line, however it will be up to you to get your team into position and claim your lane. First come, first serve.  In all races EXCEPT FOR the JV race, team lanes will be enforced--one team per lane.  In the JV races there may be too many runners and the start will be more like a road race.

How many lanes are there?  How many teams will you accept?

We will be setting up 45 lanes.  For the Race of Champions, we will only allow 25 teams--this is our most elite high school varsity race.  For all other races, we will allow up to 40 teams--the other 5 lanes are for individuals.

Can we set up team tents?

Yes, there will be plenty of room to set up your team camps and tents!

Are there changing facilities?

No, you'll need to change before you come to the meet.

What about bathrooms?

We will have plenty of port-a-potties both outside the course and on the infield.

Do buses or school vans have to pay parking?

No, but any other vehicles (including those with coaches and athletes in them) will be asked to pay $5 for parking.  We are not charging admission, so we think this is a fair tradeoff.

Will there be traffic back ups?

We hope to minimize traffic problems, but the fact is at the start of each day's racing there will be a lot of people trying to pour in at once!  Our parking attendants will be working as fast as possible.  We have tried to help the flow by having a dedicated exit and one or two dedicated entrances.  See the map for details.

Where should buses go?

Buses must use the Ashbrook entrance and will have a designated parking area.

Where can I get gas?

There is a Citgo right near our exit road on 301.  There is also another Citgo a little further down, across from the Drive-In Movie and our Jordan Road entrance.

Why are the hotels so far away?

Because our course is on a beautiful ranch in the middle of nowhere!

What kind of food and drinks will you have for sale?

YES!  We will have energy drinks, snacks, hotdogs, hamburgers, egg mcmuffins, fruit, granola, ribs, etc! All available at Cafe Everglades!

How can I get a press pass?

I will be making up forms to request press passes.  You will need a press pass to get into the meet without paying parking, to get into the Press Parking Lot, and also to get into the Infield or Press Deck in the Tower.  Until I get the form up, email me to request one.

Will coaches be allowed in the infield?

We will include one coach armband per team packet.  Due to the nature of the course, traffic flow into and out of the infield will be tightly controled.

What's the restroom situation like?

We're shipping in a truckload of port-a-potties for the midway for the public.  We will also have a couple by the start line/athlete entrance and in the infield.

Will there be a medical tent?

Yes, right beside the finish in the infield we will have medical tent and an ambulance.

Will you have water/drink for the athletes?

Yes, there are water spickets at both the start and finish that will allow us to provide a continuous supply before and after the race.  Should be much better than trying to ship the water by golf cart from the other side of the course like last year.

What is this grand stand/viewing deck/spectating area?

There is a wood, covered deck at the top level (on either side of the media/announcer tower).  Below that there are several tiers standing levels.  This will allow a thousand people to easily see the finish from a great side-view vantage point.  Much better than trying to squeeze into a spot along the ribbon or jumping to see over everyone's heads!

How much is the prize purse for the Community/Open?

So far we have raised $500, but we hope to raise more by race day.  That will be split between men and women, either 2 or 3 deep.

Who is going to be running in the Community/Open?

Anyone who wants to get a race in is welcome.  We don't anticipate a large crowd; however, we do anticipate some elite runners entering... so if you're looking for fast, we've got your fast right here!
